Accounts Payable Coordinator

The Accounts Payable Coordinator is responsible for or supporting the accounts payable activities in the office performing tasks requiring quick resolution of issues. This position will work closely with accounts payable staff and other corporate staff to ensure all payables are correctly reconciled in a timely manner.

Essential Functions

Responsible for preparing all payables verifying that vendor invoice agrees to pricing and quantities received per purchase order; then post vendor invoices.

Makes calls to vendors to clarify any questionable invoice items prices or signatures; calls department for proper information and or data regarding invoice payments.

Facilitates the payment process by ensuring all required documentation is accompanied with the payment request.

Takes phone calls and responds to any questions from departments or vendors as it relates to invoice payments.

May assist other Accounts Payable Coordinators in departmental initiatives.

Print invoices received via email and from Independent Stationer website.

Receive and post drop shipped customer orders from vendors.

Identify and research any discrepancies between our purchase order and vendor invoices.

Contact vendors, when necessary to report shortages, overages or damaged merchandise to resolve.

Report pricing difference to Purchasing.

Check and clear wholesale invoicing errors.


Strong attention to detail and organizational skills

Able to work in a fast paced, high volume environment

Able to effectively communicate orally and in writing

Strong knowledge of Microsoft Excel and Outlook

Physical Demands

Contract Furniture Sales Executive

The Furniture Account Executive is responsible for initiating and closing profitable furniture sales.  Serves as the primary contact for the client during the sales process and works with the other furniture support functions (design, project management, furniture sales support, etc.) to ensure that client needs are met and client satisfaction is achieved.

Essential Functions

  • Prospect in the local marketplace for new furniture opportunities
  • Develop local business relationships with various influencers (A/D community, commercial real estate brokers, moving companies, etc.) in order to identify potential opportunities early
  • Manage the day to day relationship with existing clients for which the Account Executive, Furniture is assigned
  • Lead the development of creative and innovative solutions to meet client needs in a differentiated manner. Collaborate with Interior Designers to provide solutions that meet client functional, aesthetic and budgetary requirements
  • Lead the project strategy process. Involve stakeholders in the development of a winning sales plan to capture targeted accounts and/or opportunities
  • Work in a team selling environment to collaboratively develop account plans for existing accounts that maximize penetration and retention

Customer Service Representative

The Customer Service Representative works to provide a positive experience for our customers.  He/she receives all incoming telephone calls requesting assistance with orders for office supplies and/or returns, or other inquiries.

  • Processes returns for pick-up
  • Reports missing items from customer orders to reorder or credit at customer’s request 
  • Transfers invoicing inquiries to designated accounting personnel
  • Directs customers to other personnel for customized orders
  • Assists Sales Representatives with various inquiries  
  • Occasionally contacts suppliers for non-catalog or unusual items for availability or pricing

The Designer provides design services to dealership customers. Works closely with dealership sales, order entry and installation groups, as well as customers, to ensure accurate plans and specifications. Works under minimal supervision, carries out design assignments that are larger scale and more complex in nature, exercising considerable to extensive latitude in the use of initiative and independent judgment.

  • Attends client planning meetings; presents plans and information to customer for review and approvals maintains and distributes meeting notes
  • Review site; conducts field measurements and plan-to-site adherence checks.
  • Works independently on the development of original designs or adaptations requiring specialized experience.
  • Inventories existing product; produces as-built drawing/specifications as required.
  • Conducts in-depth programming; interviews customer/end users, researches workplace requirements, analyze space/furniture needs.
  • Develops and presents block and space plans.
  • Develops and presents color/finish boards and selections; gains customer approval as required.
  • Prepares installation drawings for field personnel. Coordinate electrical locations.
  • Develops product specifications; double-checks specifications against plans; gets specifications order-entry ready.
  • Manage changes and revisions.
  • Recommends and initiates cost saving measures for project through product selection and value engineering
  • Stays current with manufactures products and specifications


  • Estimates design project time; maintains detailed daily time sheets; manages actual time against project estimates.
  • Assists in the writing and presentation of design proposals and contracts to customers.
  • Maintains project documentation, including records of all key decisions, phone conversations, approvals and sign-offs, and notes from all project planning meetings.
  • Manages adherence to project schedule, internal dealership budget, customer’s project budges, design task completions and quality of design work.
  • Communicates regularly to customer and sales management regarding project status.
  • Administers workload schedule and daily tasks when design manager is not in the office etc.
  • Working knowledge of the dealership’s contract furniture lines, including features/benefits, pricing, application and assembly, specification options ad nomenclature, etc.

Job Description

The Sales and Marketing Intern will be responsible for supporting the day-to-day activities of the sales and marketing team to help develop sales leads into appointments and customers for Office Basics, Inc.  We offer a hands-on approach; interns will go on sales appointments and help brainstorm and create marketing materials.

Key Responsibilities
With the help and guidance of the Internship managers:

  • Research the Internet for new leads and develop prospect lists
  • Job shadow Sales Executive while on client visits
  • Assist with tradeshow planning and creating related materials
  • Attend meetings with team members to learn and understand the business and projects
  • Maintain and update business contact information regularly
  • Conduct market research, as needed
  • Take on additional duties and responsibilities, as needed

Minimum Job requirements

Must remain professional in all aspects of internship while representing Office Basics. No prior experience needed but must have an enthusiastic attitude for learning.


Internship is a temporary, part time position. The first priority of any student is the completion of their academic requirements.  Office Basics will provide resources and time to ensure that once the internship is complete, Interns will have received hands on experience to pursue a career in Sales and Marketing in the business to business world.
